Miami Book Fair Office Assistant

The office assistant is mainly responsible for answering and directing the calls received at Miami Book Fair Year Round and will assist several Program Directors and staff members for both MBF Year Round events and Miami Book Fair in November.

Minimum Requirements:
– Proficient in Microsoft Office
– Some experience in clerical work
– Must be able to communicate effectively
– Must be able to answer multiple calls at the same time and work a flexible schedule
– This individual must be able to adapt to the intensity of a high volume office environment and must be able to provide a high level of customer service.

Duties & Responsibilities:
– Files, answers phones, sorts incoming mail and delivers outgoing mail
– Organize storage area and transport boxes from one area to another
– Types forms and labels
– Assists with coordination of special events
– Performs other duties as assigned

Miami Book Fair Development Assistant

Miami Book Fair at Miami Dade College is looking for a Development Assistant with fundraising, marketing, administrative and/or sales experience. This is a part-time contractual opportunity for someone with the right experience to join the fundraising team. The Development Assistant helps the Miami Book Fair team in the management of the Book Fair’s Corporate, Foundation, In-Kind and Media Sponsors, including liaising with the sponsors as well as different departments within the Book Fair and the College.  This position is seasonal, for 4-5 months (Through Mid-December.)

Scope of Work:
The Development Assistant will work with the Miami Book Fair fundraising team to support the organization’s overall fundraising efforts. Specific responsibilities will include following up with individual sponsors/supporters with regard to returning signed agreements, and submitting logos and other materials; maintaining database of confirmed sponsors; coordinating ticket order requests from sponsors and the assembly of the Sponsor Welcome Packets; managing a group of sponsors assigned by manager through the end of the Fair, responding to questions, and facilitating requests; assisting with sponsor registration, sponsor information area, and other various logistical issues; assisting with coordination of special events and receptions; and with  prospect research (foundation and corporate), drafting and development of online proposals and LOIs to potential sponsors and the development of outreach letters and materials to sponsors & prospects.

The goal of this position is to successfully support the Book Fair’s efforts to increase the amount of revenue generated and the number of individual donors and sponsors to the Miami Book Fair.
